A practical discussion guide for infrastructure teams evaluating operational software. Use it to frame your internal requirements and first platform walkthrough.
01
Start with the operational decision.
Before listing features, identify the decision that is difficult today. It might be redeploying a team, reconciling material, approving a claim or identifying a ticket at risk. Work backwards to the records and responsibilities that decision needs.
What does the reviewer need to know?
Who can capture the information at its source?
What evidence makes the record useful?
02
Map the handoffs.
A workflow crosses people and departments. Document how the record moves from capture to verification, approval and reporting, including what happens when an entry is incomplete or disputed.
Record ownership at each stage
Approval levels and exception paths
Existing spreadsheets or systems that remain part of the process
03
Make the pilot measurable.
Choose a bounded set of users and sites. Establish the current reporting or reconciliation process before the pilot so the team can judge the change using evidence rather than impressions.
Define the pilot scope and responsible owners
Agree data preparation and training needs
Choose observable success criteria
Review exceptions and user feedback before expanding
04
Evaluate the operating partnership.
A successful rollout needs ownership beyond software delivery. Discuss training, support, change requests, deployment responsibilities and the review cadence with your technology partner.
